Overview

Provides the Plant Human Resources department with administrative assistance to organize and coordinate the administration of the day-to-day operations and procedures of the plant human resources functions and duties to ensure organizational effectiveness and efficiency.

Responsibilities

Administration

  • Assists in the coordination of programs, procedures, and guidelines to help align the workforce with the strategic goals of the plant.
  • Prepares and maintains reports that are necessary to carry out the functions of the Human Resources department. Prepares periodic reports for management, as necessary or requested
  • Composes and types Plant correspondence, such as letters, memos, and notices for the Plant.
  • Distribute and posts Plant Notices to applicable personnel and on plant bulletin boards.
  • Maintains the HRIS database and generates scheduled or requested reports to assist management.
  • Periodically audits to maintain updated employee information to ensure accuracy.
  • Keeps employee records up-to-date by processing employee status changes in a timely manner.
  • Maintains plant employee files in compliance with applicable legal requirements.
  • Plans and coordinates monthly luncheons for the Plant as needed.
  • Assists in coordinating travel arrangements and other arrangements for the Plant personnel as needed.

 

Time and Attendance

  • Performs KRONOS data entry by preparing and making edits for the production staff for payroll processing. This includes distribution of time keeping records, posting holiday, vacation, bereavement and sick pay benefits.
  • Prepares PAN’s (Personnel Action Notices) for payroll changes on all employee status as necessary (i.e., change of address, department transfers, rate increases/decreases, separation reasons, etc.) and forwards information to corporate for processing.
  • Maintains attendance records of all plant personnel. Maintaining attendance (point) system for hourly employees, recording usage of sick time, and vacation time. Informing Asst. HR Manager of disciplinary action for attendance within guidelines of attendance policy.
  • Compiles weekly and monthly reports for temporary and Nissin labor. This includes: data input of hours, data processing & verifying weekly invoices, accrual reporting to management.

 

Employment

  • Provides a first review of resumes and maintains a filing system that retains qualified applications for one year.
  • Mails the candidate offer letter packets as requested and tracks return correspondence.
  • Assists in conducting new-employee orientation.
  • Prepares paperwork required for new hires and establishes personnel file.
  • Assist department manager with temporary staffing needs by contacting and working with the Temporary Staffing Agency’s.
  • Acts as a liaison to assist employees with concerns they might have regarding personnel related issues. Reports such concerns to Asst HR manager immediately upon acknowledgment of such matters.
  • Supports the HR Asst. Manager with EEO file reporting and EEOC regulations. This includes case research, copies, and appeal document preparation.
  • Assist with the implementation and tracking of the plant safety program. Prepares monthly charts describing safety related deficiencies, ticket, accident logs.
  • Responsible for working with Asst HR Manager and Safety department on Worker’s Compensation communication between insurance carrier and Nissin Foods, including: filing WC claims, following- up with employees, and plant management.

 

Training

  • Coordinates, Conducts and schedules training sessions for plant employees.
  • Tracks participants and training records in Access database system.
  • Conducts training for mfg. employees on various topics as required for the Plant, including, SQF, Safety programs, etc.
  • Assists in creating and maintaining the plants annual training & meeting calendars.

 

Supervisory Responsibilities: None

Qualifications

  • 1 year certificate from college or tech school
  • 3 years related experience in manufacturing companies.
  • English/Spanish Bilingual communication skills (speak, read, write and listen)
  • MS Office suite (Excel, Word, and Outlook)
