  • Overview

    The Facility & Safety Manager is responsible for assisting with the administration of functions related to General Affairs, Facilities Management, Office Management, Consumer Affairs and supervises the receptionist.

    Responsibilities

    Essential Functions- Job Duties: The following duties are considered essential to the job.  Qualified individuals must have the ability – with or without reasonable accommodation – to perform the following duties but not limited to:

     

    General Affairs:

    • Responsible to oversee the general affairs and duties related to the overall operations of the Corporation in the place or location where business is conducted.  The responsibilities include but not limited to contact and coordination of business activities, compliance with local, state and/or federal agency’s ordinance, licenses, certificates, regulations, etc.

     

    Office Management:

    • Responsible for the administration of the corporate communication system (public address), assignment of office equipment/furniture, online office supply system, space planning, maintenance and storage of company records, Cellular phone service, business cards, personal nametags, etc.
    • Responsible for the fleet vehicle program for Corporate and the Manufacturing Plant that consists of several company cars and trucks.  Coordinates the repair and/or maintenance of vehicles, maintains registrations and insurance coverages.
    • Responsible for processing and maintaining all document for Worker’s Compensation, Commercial Liability, Residential Leases, City Business Licenses, Local, State, and Government permits or certificates, etc.
    • Maintenance of Legal documents including but not limited to Vendor Supply agreements, Non-Disclosure Agreements, Master Service Agreement, etc., (physical and electronic) for all departments.

     

    Property Management:

    • Responsible for the management of commercial buildings leased for storage and utilized by our Receiving and Shipping Departments.  Includes building improvements, security systems, fire protection, common area maintenance, repair and maintenance, etc.
    • Filing and tracking of property damage claims for all sites (CA and PA)

     

    Facilities Management:

    • Responsible for the coordination of capital investment project that include interior and exterior remodeling, repairs and/or improvements.
    • Responsible for overseeing that the buildings, infrastructure, and grounds at the facility and Corporate Offices are maintained including plumbing, electrical, landscaping, janitorial and food vending services.
    • Responsible for maintaining the Corporate Office climate control systems (HVAC) to ensure efficient operation of units and internal control of the office environment.
    • Responsible for repairs, such as plumbing, electrical or general building repairs.

     

    Safety/Security:

    • Responsible for facility security (keys, pass cards and codes), security access system, intrusion and fire alarm systems, security guard service, surveillance camera system, perimeter access control and parking coordination.
    • Implements and coordinates safety policies and procedures in compliance with local, state, and federal Occupational Safety and Health Administration (OSHA) rules and regulations.
    • Represents the organization during conferences, meetings, and inspections with insurance carrier’s representatives, and/or local, state, and federal regulatory agencies.
    • Represents the organization in community or industry safety groups and programs.
    • Leads and facilitates Safety Committees with managers and employees to provide training, identify issues, communicate and promote safety in the workplace. 

     

    Supervisory Responsibilities:  Supervises one employee.

    Education and/or Experience:  Associate's degree (A. A.) or equivalent from two-year College or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
